The Head of Production, you will manage client relations and expectations, encourage collaboration and be insightful of their needs, solution-oriented and ensure the highest creative quality.


Main aspects of the Role:

We are looking for a pro-active and enthusiastic, super-organized Production Co-Ordinator to join our busy team.
You will work closely with our Producers, under their direction, to support and ensure the smooth day to day running and resourcing of projects within the creative studio. Your involvement will cross all stages of the production process including pitching, planning, creative development, production, post, delivery and archiving.
This role is pivotal in supporting the timely, efficient and accurate creation, completion and delivery of a range of varied projects and tasks within the studio. 
You will be required to be a reliable precise conduit for information, to ensure its flow, through continual liaison between the Production, Creative, Editorial and Technical departments and the wider team and partners.
You will be closely involved in the planning and scheduling of a varied range of projects and tasks working within a multi-disciplined team. The ability to clearly communicate tasks, goals, priorities and deadlines to Artists and team members while motivating the team will be essential, as will the ability to proactively trouble shoot and feedback openly and transparently. 
The Production Co-Ordinator will be responsible for accurately recording, tracking and reporting on the progress of projects, with great attention to detail.
This will evolve into a client facing role and clear, accurate communication and diplomacy are key.
The ideal candidate will require a solid knowledge and understanding of production and post-production pipelines, workflows, processes, terminologies and industry conventions.
Your appreciation of client and studio expectations will have been gained through experience of working in a VFX, CGI, Animation or a Post-Production Studio environment.
There will also be the need to handle some day-to-day admin typical of a Production Co-Ordinator and general tasks to support the studio. 
This will be a great opportunity to develop your existing skills further within a creative integrated production company.
Although you will mainly be based in the CG Studio, there will be the opportunity to assist with photographic and live action production, including on-set involvement at shoot stage.

Key Responsibilities:

  • Support the Production Department in the planning, smooth running and completion of projects and assist with day to day and general tasks within the studio.

  • Assist the Producers through methodically and accurately sourcing, collating, distributing and tracking all information, data, materials and assets relating to creative and technical projects, pitches and various tasks within the studio.

  • Assist with the management of constantly shifting priorities, client requests and deadlines within the studio.

  • Act as a conduit for the flow of information and data between departments on live projects, pitches and with the day to day.

  • Set up and maintain job files, systems and templates and gather and compile the relevant data and information at the start of new projects.

  • Assist with the organization, scheduling and booking of resources and talent.

  • Produce schedules. Create and run shot lists for projects. Create progress, approval and delivery reports.

  • Assist with resourcing and recruitment of talent and crew - research, identify and reach out to suitable candidates, help to engage, schedule and book freelancers, help arrange outsourcing.

  • Brief Artists accurately, ensure the circulation of accurate relevant feedback and updates.  Push for the highest standards.

  • Ensure project, team and resourcing information is accurately captured and entered into production management, tracking systems and templates.

  • Maintain and log all timesheets, purchase orders and check invoices.

  • Maintain inventory lists, source and distribute project files, client information, data, materials and briefing packs to the creatives and team.

  • Organize and track supplied materials and deliverables. Arrange, track, record and log deliveries. Create inventory lists.

  • Assist with archiving completed projects with the technical team.

  • Attend meetings, take notes, create reports and action points and input the relevant information into systems and templates.  Accurately record information of a technical and creative nature along with the relevant project, client and brand information.

  • Provide assistance to the Producers on photographic and film productions, during prep, castings, stock searches, pre-production, shoot etc.

  • Help organise shoot kit, transportation, accommodation as required, track and ensure safe return of equipment etc.

  • Help co-ordinate and collate marketing and pitch materials and produce showreels. Assist with research and contribute to the pitch and treatment process.

Handle some general studio and office administration within the studio, run the Producer’s diaries, set up client meetings, prepare the meeting room, make drinks and do lunch-runs when necessary.



Requirements:

In addition to being a highly motivated, organised multitasker with excellent interpersonal and communication skills, the following technical skills are a must:

  • Experience of working in a CGI / VFX / Animation studio environment or Post-Production Facility, directly with crew and clients.

  • A keen active interest in the creative and technical developments within the industry and key markets.

  • A solid knowledge and understanding of workflows, pipelines, terminology, processes, software packages and capabilities and industry conventions in this field - with the focus on Motion.

  • A commitment to providing the highest level of client services and creative quality and comfortable dealing with a wide variety of projects, customers, partners and suppliers.

  • Ability to remain calm and positive under pressure and deal with a high turnover of projects.

  • Reliable, trustworthy and committed. A positive and friendly attitude, a reliable supportive team player, a clear communicator.

  • Able to demonstrate exceptional organisational and administrative skills, accurate data input and reporting, with an understanding of basic budgeting and estimating for simple projects and requests.

  • Apple Mac Literate. Good Microsoft Office skills (including Office & Word). Outlook 365. Familiarity with digital project and asset management systems preferable. 

The duties necessary within this role include but are not limited to those outlined above. Additional duties will expand as the position develops and the organisation grows.

Advantageous:

  • A working knowledge of Adobe Photoshop, Premiere Pro, In Design and After Effects.

  • Experience crossing both Motion and Stills / Retouch or Digital and an understanding of the integrated production process.

  • Understanding of Real-Time, Unreal Engine, AR and VR pipelines and workflows.

  • Experience of live action and photographic production, on-set experience, editing, design and audio production would be an asset.
